Summary conditions of hire (A full copy is available on the Beaumont Parish Hall website)

  1. The Hall may not be hired for 15th-24th birthday parties (unless resident in the parish) or any Hen/Stag parties without security being in place for the duration of the party.
  2. A deposit of £100 is required from any Hirer living outside the parish. The deposit will be refunded within 14 days of the Hirer’s event provided that no damage or loss has been caused to the premises and/or contents during the period of the hiring and there has been no failure to comply with terms agreed on the booking form (see points 20 and 21 below)
  3. At least 7 days’ notice of cancellation of any booking must be given. Failure to do this will result in the Hirer having to pay the full fee.
  4. Kitchen use:
  5. Light kitchen use covers making hot drinks, serving food prepared elsewhere and washing up. This is included in the booking fee.
  6. £10 kitchen use fee applies where food is prepared, cooked, baked or reheated on the premises, including use of ovens, hobs, grills, microwaves or other cooking equipment.
  • If preparing food, the Hirer must comply with all relevant Health and Hygiene Regulations.
  • No subletting is allowed.
  • The Hirer shall not use the premises for any purpose other than that stated on the booking form.
  • The Hirer shall be fully responsible for the health, safety, and security of all participants in the Hirer’s event, this shall include responsibility for any third-party contractors. The Hirer shall consider taking out appropriate insurance cover and ensure that any third parties have appropriate cover and relevant experience. A copy of our Lone Working Policy is available on request, on the Parish Hall website and on display in the Hall.
  • The Hirer should note that there is no telephone at the Hall. If emergency services are needed “what3words” can be used, which are “stray, consoles, insects”. The post code is CA5 6DX.
  • The Hall will be available for use during the times shown on the Booking Form. The Hirer is responsible for the preparation and clearing of the Hall during these times. Early access may be possible, by prior arrangement only.
  • Events must finish before 1.00am.
  • The Hirer must familiarise him/herself with the positions of the fire extinguishers and fire exits and comply with the Hall’s fire risk assessment. This is available to read in the hall. No highly flammable substances may be brought into the Hall.
  • All equipment brought into the Hall by the Hirer must be in good working order and used in the manner for which it is intended. No portable heaters are permitted.
  • The Hirer will be responsible for ensuring that all vehicles are correctly parked, avoiding obstruction of the highway and residents’ driveway accesses. Hirers are asked to consider whether they should use parking stewards at busy events.
  • In accordance with the licensing Act 2003 the sale of alcohol and/or playing of music is covered by the Hall Licence until 11pm. Sale of alcohol or playing of music after this time is forbidden unless the Hirer obtains a Temporary Event Notice from Cumberland Council. This notice should be displayed in the hall throughout the event. Including an alcoholic drink in the admission price, or asking for a donation for alcoholic drink, constitutes a sale. It is a criminal offence to sell alcohol to anyone under the age of 18 and responsibility for ensuring compliance lies with the Hirer.
  • The Hirer will be responsible for maintaining good order and will ensure that no disturbance is caused to residents by excessive noise or drunk and disorderly behaviour.
  • In accordance with the Smoke-free (Premises and Enforcement) Regulations 2006, the Hall is smoke-free and the Hirer must not allow smoking or vaping anywhere within the Hall premises. Smoking is permitted outside. The Hirer is responsible for ensuring that cigarette ends, matches etc are disposed of in a tidy and responsible manner.
  • All Hirers who wish to use the hall for activities which include children and adults at risk, other than for hire for private parties arranged for invited friends and family, are required to produce a copy of their Safeguarding Policy and evidence that they have carried out relevant checks through the Disclosure and Barring Service (DBS) when requested to do so, or confirm that they have understood and will adhere to the hall’s principles and procedures with regard to safeguarding.
  • The Hall has free access Wifi. Hirers must familiarise themselves with the rules about the use of this Wifi and ensure that all

users abide by these rules. Failure to do so will result in access being removed.

  • Any accidents must be recorded in the accident book and reported immediately to the Booking Secretary
  • No drawing pins, Sellotape or Blu-Tak may be used anywhere on the walls. In the event of damage being caused to the Hall or contents because of the hire, the hirer will be fully responsible for the full cost of repair/replacement. Any damage must be reported to the Booking Secretary at the earliest opportunity.
  • The Hall must be left in a clean and tidy condition. Floors must be vacuumed and mopped as required. Any tables and chairs used must be cleaned and replaced in their storage positions. Bins must be emptied. Tablecloths, tea towels etc to be laundered and returned ASAP. All lights should be turned off. The cost of any extra cleaning required will be taken from the Hirer’s deposit.

21. The Hall must be left in a clean and tidy condition. Floors must be vacuumed/ mopped as required. Any tables and chairs used must be cleaned and replaced in their storage positions. Tablecloths, tea towels etc to be laundered and returned ASAP. All lights should be turned off. The cost of any extra cleaning required will be taken from the Hirer’s deposit.
